The "staff" tab of the staff interface allows you to add a user to your SMS installation, delete existing users, or reset the password of a staff user.

To do so, log in under an existing Administrator account. Then visit the "Staff" tab in the top navigation bar. Once you have arrived at this page, you can hover over a user and click the three dots on the right hand side to either delete that user or reset that user's password.

To create a new account, click the "New User" button.

User creation

When creating a new user, you will be required to specify their first name, last name, email, role, and school. There are four possible roles you can select:

  1. Administrator
  2. Clerical
  3. Teacher
  4. Counsellor

If you are creating a teacher account, SMS will try and match the email address you provided against a Moodle user account. If there is no matching account, SMS will create one when you create the user. The dialogue box will show you whether or not SMS identified an existing user account.

Each role comes with different permissions:

Administrator — This role provides full access to the system, including destructive actions. This includes the ability to permanently delete all student data, create and download system exports, and change system configuration settings such as the content of emails. We recommend only assigning this role to limited users who need it, such as head secretaries or school administrators.

Clerical — ****This role provides full access to all students in the system, but some destructive actions are restricted. Clerical users cannot change system configuration settings or delete verified student data. Clerical users have full read and write access to all student and course data.

Teachers — This role provides write and read access students who are enrolled in the courses that they teach. They can edit student enrollment data and provide feedback on student progress for those students. These accounts must be bound to a Moodle account, and SMS will determine which courses they teach based on which courses their Moodle user has grading permissions for.

Counsellor — Counsellors have read-only access to students from a specific school. When logging in, they will only see students who are registered to the same school as the counsellor. At user creation time you can specify the school belonging to the counsellor. Counsellors can also write messages on the student's activity log.
